Membership Meeting Minutes

The October meeting was called to order at 6:32 PM by club President David Bowles.  He welcomed a big crowd of 57 members and 3 guests.  The guests tonight were Jerry Lancaster who owns a green 1994 C4, and Mike & Ann Domico who own a 2002 Coupe. Welcome all and hope you come back.  David wished a Happy Birthday and Happy Anniversary to all members celebrating these in October.

Greeter at tonight's meeting was Harry Sweet.

Secretary’s Report - A motion was made by Jim Lowry to approve the minutes as presented and seconded by Will Kessinger. The minutes were approved.

Treasurer’s Report - MICC Treasurer Mourina Sweet gave the report, including a detailed breakdown of all transactions.  A copy was passed around for all to review.  There were no questions or corrections, and a motion was made by Buddy Turner and seconded by Jim Lowry. The treasurer’s report was approved.

Activities - Jim Gehrig- if you want to sign up for outings and events, please contact Jim Gehrig at 309-246-4691. In Jim’s absence, Dave Bowles went over the activities list. The Hound and Hare Rally will likely be canceled due to lack of interest. Moe will notify those who have signed up.

The Christmas party will be held at Alexander’s Steakhouse on Saturday, December 9, 2017 at 5:00 PM. Please sign up at the November meeting, accept the Google calendar invitation or contact Jim Gehrig.

Membership - Tracy Adamson – If you have any changes to your contact information, let Tracy know to update the membership directory. We had three people join tonight.  They are Jerry Lancaster and Mike & Ann Domico. Welcome, now let’s have some fun!

Newsletter - Mourina reminded everyone the submission deadline for any newsletter information is the 25th of the month.

Governor’s Report - Governor Sandy Arnold – no report.

Old Business - Ballots must be postmarked by October 15th in order for them to be counted. Ballots will be counted before the November meeting and new officers will be announced during the meeting.

There are three Dining Tour coupon books remaining. Sue McMorris suggested the club order 20 more books, as there has been increased interest.

Roger and Mary Stone have past club shirts available for anyone who would like to take them.

New Business - Jessica Lowry presented a “Paint Night” fund-raising idea to the club to support the Corvette Drive. It would be held after the first of the year, and the cost is $40 per person. You are given instructions on how to paint a picture of your car or whatever you want using oils to paint on canvas. She will host the event if there’s enough interest. [For men and women.]

Trivia and 50/50  - In 1964 the Borg-Warner 4-speeds gave way to these ‘rock crusher’ tyrannies for the Vette. A) Muncie, B) Powerglide, C) Super T-10, D) Top Flight.  The correct answer was -  A) Muncie and was worth $10.   Mary Stone answered correctly. She donated her winnings to the Shoe Fund. 

The 50/50 drawing was $55.00 tonight to the winner who was Jodie Lawrence, and donated her winnings to the Shoe Fund.

Opening

·        Introduction of Guests and Visitors – Michael & Susan Andresen from Westminster Village, Rod Wand (2017 Z06), and 2nd time visitor Ron Zimmerman. 76 members were in attendance.

·        Tonight’s Greeters – Dan Hittinger, Harry Sweet, Paul Boyd

Officer Reports

·        President – Dave Bowles – Dave acknowledged those who celebrate birthdays and wedding anniversaries in September.

·        Vice President – Rick Doro. No report.

·        Treasurer – Moe Sweet – A copy of the treasurer’s report with copies of checks written and deposits made circulated during the meeting for reference. This is a new way to present the report and we hope everyone likes it. Darlene Corrie made a motion to approve and George Taylor seconded. The treasurer’s report was approved.

·        Secretary – Sherie Hittinger – A motion received to approve the August 14, 2017 minutes by Roger Stone and seconded by Dee Taylor. The minutes were approved. There was a correction to the July minutes due to a miscommunication of the overall total donation to St. Jude’s. The correct amount is $7,361.40. A motion to accept the correction was received by Bruce Adamson and Mike Durham seconded. The correction was approved.

·        Governor – Sandy Arnold – The Roger Clancy Humanitarian Award is given annually to a NCCC member who has gone the extra mile.  Two of the three nominees for 2017 are from our club!  Congratulations to Gary Uftring and Connie Durham.  Deb Lindsey, Director of Sponsorship, Cowtown Vettes, Southwest Region, received the award.  Please view Sandy’s full Governor’s report as posted to the MICC website on September 13, 2017.

Standing Committee Reports

·        Membership – Tracy Adamson –Reminded us that our dues are DUE now and need to be paid by October 15 or a late fee will be applied by NCCC. Call Tracy to confirm membership amount at 309-263-7340.

·        Activities – Jim Gehrig –Lots of activities in the next month coming up.
9/14-17 Funfest (9/15 Robin attending, depart 7:30 am from Bob Evans, E. Peoria; 9/16 Dave B. with a departure between 9-10 am)
9/14 Harley Ride Send-off from Walters Brothers on Maxwell Rd. Be there early for parking; presentation at 6:30 am. Harry Sweet is the contact.
9/22 Elmwood High School has invited our club to their parade to drive their homecoming court in our convertibles. All Corvettes are invited. Call Jim Gehrig with your interest.
9/30 Westminister Village Car Show, guest speaker Susan Andresen, Director of Life Enrichment at WV, personally invited us to join their 350 residents for a mixed car show. All cars are welcome. Please come and fall in love with the residents and spend your day with them. Coordinators are Robin Jones & Jim Dunlap.
10/14 Drive & Dine to the Chanticleer in Eureka. Leave from Uftring at 4:15 pm and cruise to restaurant.
10/21 Hound &  Hare Rally with details to come at the October 9th meeting.
12/9 Annual Christmas Party. Mark your calendars. Two venues were presented: Opt 1 -A private room at Alexander’s Steakhouse in Peoria (no room cost and everyone will be on their own with no money collected in advance); Opt 2 -Timberlake Country Club off Farmington Rd., Rich Anderson is a member of their club (2-meat buffet, $20 per person + gratuity. Pay TCC directly). There was a vote taken and the Christmas Party will be held at Alexander’s. There is $400 budgeted for this event. Jim Ortiz would be interested in being our DJ for the evening.

·        Newsletter – Moe Sweet –need items for newsletter by 9/25.

·        Nominating Committee - Peggy Karnes announced the following nominations. Connie thanked everyone she spoke with and for all who stepped up to serve on the 2017 MICC Board. Ballots need to be postmarked by October 15.

·       At Vettes on the River (LeClaire, IA), MICC tied for the club with the largest number of Corvettes participating, and we received a really nice trophy. Steve Barton won a 1st place trophy for his C6, and Jim Lowry won the 50/50 drawing. It was a great day for all who attended.

·        Dining books – Sue McMorris –The profit ($10) from each book sold helps to subsidize our sponsorship of the St. Jude Drive, which is $1,000. The books are $30 each. There are 17 left and she can get more. We have collected $750 up to tonight’s meeting.

New Business

·        St. Jude Drive –John Haase – The Yeagers from Mid-America Corvette Designs in Effingham are leading a group for next year’s drive. Mid-America has developed a ‘round up’ program at point of sale to raise funds for St. Jude. Gary Uftring expressed his show of support and sponsorship by the Uftring Dealerships and the Mid-Illinois Corvette Club of the St. Jude Drive. Dave Bowles shared his personal affiliation with St. Jude.

·        9/23 St. Jude Walk/Run at Northwoods Community Church. Cost: $10 to walk 1 mile. Lots of activities beginning at 8:30 am for runners and 8:35 am for walkers. Drive your Corvettes. Sign up online. Brochures available on the table tonight or contact Connie Durham.

·        Rik Doro –thanked everyone for their thoughts and prayers for his daughter Melissa.

Announcements

·         50/50 winner –Winner of $74 is Mike Branham, and he donated his winnings to the Shoe Fund.

August 14, 2017

The meeting was called to order at 6:33 p.m. by President Dave Bowles. There were 61 members and 2 guests present. Our first-time visitors were Jim and Laurie Redmon.

Dave shared his President’s comments (posted to website on August 1), as well as acknowledged those who celebrate birthdays and wedding anniversaries in August.

Secretary’s Report – The minutes of the July meeting were posted on the MICC website last month, per our normal process.  The minutes were approved as posted.

Governor’s Report – Nothing to report.

Membership Report – Nothing to report.

Treasurer’s Report – Moe Sweet presented the treasurer’s report. There were no corrections, and the report was approved. A detailed version of the monthly deposits and expenditures is available at the meeting or encouraged to contact Moe at 309-253-3918.

Activities Report – Jim Gehrig

August 12 Club Hog Roast receipts were available for review at the meeting. The Club budgeted $400 for the hog roast. We asked for a vote to reimburse the Gehrigs in the amount of $250 instead of the $400 that was budgeted. It passed unanimously. What a great event & venue, and we thank Jim and Gloria for all their hard work and time to make this special.

2017 Christmas Party. Jim is interested in taking the club back out to Weaver Ridge for the event. There was moderate interest by the members present, so he requested everyone please bring your ideas for where you might like to go to the September meeting for a discussion and vote.

Newsletter – Please send your newsworthy items (pictures encouraged!) to Moe by the 25th of month for inclusion to the newsletter sent to those few members who don’t have email or internet.

New Business – Roger and Mary Stone prepared a bereavement process for the club’s consideration whereas members are asked to provide information when a club member or immediate family dies. This is so we can provide support at the visitation or funeral home, drive our cars and wear club apparel. We would like someone to volunteer to be the Coordinator. Contact any of the board members.

Old Business – Peggy Karnes is on the Nominating Committee together with Mike and Connie Durham. Calls began last week and will continue next week. All board positions are up for election. The present VP, Secretary and Activities Director are not running in 2018. Please contact one of the Nominating Committee members or Dave Bowles with your interest or to nominate someone.

Bob Picton brought the results of our car show benefiting St. Jude runners to the meeting for those who were interested.

It was mentioned that the Membership List most recently circulated is not accessible by some members. Watch for Tracy’s email with attachments as PDF and Excel versions. A few hard copies will be made available at the September 12th meeting.

New Business – 2018 Dining Books are now available at the cost of $30 with $10 back to the club as a fundraiser. Contact Sue McMorris.

Special shout outs by Linda Picton to Elaine Kasky for 17 years of service as the activities director and Jim Gehrig for the past 2 years. Thank you! She also wanted us to be aware that Sid Graffis, MICC club member since June 1996, joined us tonight. Good to see you, Sid!

Trivia Question – THE FIRST 200 C5 CORVETTES OFF THE ASSEMBLY LINE WERE PAINTED A PARTICULAR COLOR, NOT THE USUAL COLOR USED FOR FIRST RUN CORVETTES. WHAT COLOR WAS IT?

July 10, 2017

The meeting was called to order at 6:32 pm by President Dave Bowles. There were 36 members and 1 guest present. Our first-time guest was Jerry Lancaster. Jerry purchased his 1995 Corvette green convertible from Dale Nelson, Harry Sweet’s uncle. Big welcome to Jerry!

In attendance at the meeting was a contingent of members who returned from the Dayton, OH rally. Everyone raved about the fabulous restaurants and great planning of the trip organized by Dan Hittinger. Thanks, Dan! You can check out the event pictures taken by Jim Gehrig when you have time. St. Jude Check Presentation – The club presented a check for $7,160.40 to St. Jude runners Amy & Ryan Jones. Including two checks made payable directly to St. Jude, the total donation this year is $7,836.40. Way to go, everyone!

Trivia Question – In the movie “Terms of Endearment” starring Jack Nicholson and Shirley MacLaine, what year was the Corvette used in their wild beach ride? 1978 is the answer, but was answered incorrectly. The prize is worth $70 next month for the correct answer.

Meeting Minutes for June 2017

The June 12, 2017 meeting was called to order at 6:30 p.m. by President Dave Bowles. There were 52 members and 3 guests present. The guests were: Ron Zimmerman and Chuck & Brenda Croxton.

Dave thanked everyone for their help with the 19th Annual MICC Charity Car Show supporting the St. Jude Runners. The amount raised will be revealed at the MICC July 10th meeting when the check will be presented to the runners we support: Amy & Ryan Jones.

Secretary’s Report – The minutes of the May meeting were posted on the MICC website last month, per our normal process. There were no corrections, and the minutes were approved.

Treasurer’s Report – The report presented was from May 1–May 31, 2017. There were no corrections, and the treasurer’s report was approved. Any time a member would like to see a more detailed version from the slide shown at the meeting is welcome to contact Moe Sweet at 309-253-3918.

Activities Report – Jim Gehrig reminded us of our next meet & eat at the Blacksmith’s Steakhouse (661 N. Cummings Lane, Washington) this Saturday night (June 17th) at 4:00 p.m. If you didn’t get signed up at the meeting, contact Dan Hittinger at 309-208-1286. Also, if you want to have your picture taken with your car, meet us on the road behind Uftring’s in Washington before the dinner from 3:15 to 3:45 p.m.

Dan Hittinger is the coordinator. *If you plan to go, note there’s a slight change to the meeting location on Saturday morning … meet at the rest area on eastbound I-74 (just past Goodfield, IL) for a driver’s meeting at 8:15 a.m. and departure at 8:30. Old Business – The invoice for the car show worker t-shirts came in ten dollars more than the approved budgeted amount. The $10 will be expensed to “Miscellaneous.” There were no concerns by the membership in attendance.

Club shirts, hats, and visors are available for purchase at each meeting – see Moe.

New Business – The club has rented a storage unit for $5/mo with $15 deposit. Total $75/year. The expense was not budgeted, so in the 2017 budget, it will be considered “Miscellaneous.” Big thanks to Tom Stanesa for his generosity to accommodate us at a greatly reduced rental rate.

The Car Show Committee brings the following idea to the membership for a vote: For next year’s car show, would the membership consider moving the Corvettes to Uftring’s top lot and use the lower parking lot for our guest’s cars?

A question was received: Could all cars fit on the lower level parking lot? Considering we had 164 cars this year, Bob Picton will analyze the layout closer, but his initial thought is ‘not likely.’ George Taylor made a motion to move our guest’s cars to the lower parking lot and it was seconded by Jerry Metz. All approved. The car show signs will need to be remade. A work team will be formed and meet in September-ish to get this done.

Trivia: The Corvette went to independent rear suspension in what year? 1963 is the answer but was answered incorrectly. The prize is worth $60 next month for the correct answer.

Thanks to club members: Bob and Linda Picton; Dan and Sherie Hittinger; Will Kessinger; Joe Laverdiere and Debbie, for supporting the Quincy Autocross in May. Our club received $400 for our participation.

Is anyone planning to attend Bloomington Gold? We’ve been asked if someone would be able to sell St. Jude raffle tickets at the event. Contact Sandy Arnold at 309-472-0003.

The 50/50 drawing was $50.50 to the winner, who was Mr. Bob Picton. He donated his winnings to next year’s car show. Thanks Bob!

A big thanks and commendations to the club by Gary Uftring for pulling off a great car show. He enjoyed personally visiting with a lot of people, renewing acquaintances and appraising many cars. He commented on the many makes of vehicles in the show. Sincere thanks to All!

Meeting Minutes for May 2017

The May 8, 2017 meeting was called to order at 6:35 pm by President David Bowles. There were 75 members and 3 guests present. Our guests tonight were Paul Boyd, Wayne Isbell & Earl David. Welcome all! David commented that good weather is coming and so are good times. The activity committee has worked diligently to provide lots of fun activities and trips for the club this year. Please check the activity calendar on the club website for details and be sure to join in the fun.

David wished Happy Birthday and Happy Anniversary to all who are celebrating in May. 

Secretary’s Report - The April 2017 meeting minutes as presented on the website were reviewed with no corrections. A motion was made, seconded, and approved to accept. 

Treasurer’s Report - MICC Treasurer, Mourina Sweet, gave the treasurer’s report for Mar 31, 2017 – April 30, 2017 including a detailed breakdown of all transactions. There were no questions. A motion was made, seconded and approved to accept as presented. The membership was reminded that if they had questions or wanted to see a more detailed accounting to please see Moe after the meeting.

Activities - Activities Chairman Jim Gehrig reviewed activities that are planned for the next few months. Check the website often for details of all upcoming activities at www.mid-illinoiscorvetteclub.net.

Dan Hittinger spoke briefly about the upcoming Louie, Louie parade in downtown Peoria supporting St. Jude on Friday May 26, 2017, and the trip to Dayton, Ohio to the Air Force Museum. Please see the website for details or contact Dan Hittinger.

Jim also reminded the membership the 19th annual MICC Charity Car Show Supporting St. Jude Runners Amy & Ryan Jones is Saturday May 27th and we still need volunteers to work various areas, or contact Linda Picton. Please see the sign-up sheets at the sign in table.

Linda Picton, car show chairman, talked to the membership regarding the car show. 

Gary Uftring conveyed why we have the car show each year and how the proceeds support St. Jude. He encouraged the membership to continue the work we do to support this charity. “The more we do to support this cause the closer St Jude comes to curing childhood cancer.” Gary also advised that Joe Knapp will initiate an advertising campaign regarding the car show at Uftring in Washington in the hopes it will draw some awareness to what we do and get more people to participate or just come out to see the cars.

Membership – Membership chairman Tracy Adamson had nothing to report and there were no new members voted in tonight.

New Business – Marilyn Carls has voluntarily stepped down as MICC Secretary. Sherie Hittinger has graciously volunteered to fill that vacant position. The membership was asked for a show of hands to accept Sherie as new MICC Secretary. The vote was unanimous to accept Sherie as Secretary.

Announcements – John Haase commented that the St. Jude Corvette Drive sendoff is Thursday May 18, 2017 @ 6:30 am from Uftring in Washington, IL. Please come send the Corvettes off to Memphis. 
   
Trivia - Trivia question: In 1963 this option was shown in contemporary ads and press photos, but wasn’t available until 1964 (some 1963’s got them post purchase).

The correct answer was B) cast aluminum wheels w/tri spinner knock off hubs. The name drawn guessed incorrectly. The correct answer to the June trivia question is worth $50.

The 50/50 drawing was $25.00 to the winner. Buddy Turner had the winning ticket and donated his winnings to the Pleasant Hill Kids Shoe Fund. Thanks Buddy!!

The March 13, 2017 membership meeting was called to order @ 6:30 PM by President David Bowles as President Kevin Stremlau resigned on Mar 11, 2017. There were 60 members present and 3 guests. David thanked everyone present for coming and commented on what a GREAT club we have. He also thanked Gary Uftring for his sponsorship. David commented that if anyone had questions regarding Kevin's resigning, they could be asked after the meeting.

Visitors: Visiting the club tonight was Mike Stevens, a former MICC member. He and his wife Julie own a 2016 yellow Stingray. Welcome Mike!

David wished happy birthday and happy anniversary to those celebrating in March.

New Members: Rich and Mary Anderson were voted in as new members tonight. They own a red and black 2016 Z51 Stingray. Welcome to the Andersons.

Officer Reports: A motion was made, seconded and approved to accept the secretary's report as presented on the MICC website. Moe Sweet gave the treasurer's report for the period ending Feb 28, 2017. She also passed around the detailed report for all to read. A motion was made, seconded and approved to accept the treasurer's report as presented. Sandy Arnold stated that her Governor's report is on the MICC website in its entirety.

Activities: Jim Gehrig thanked the couples that stepped up to organize and execute the planned activities for Feb while he and Gloria were on vacation. He briefly went over upcoming activities and stated that they would be listed on the MICC website and there would also be sign up sheets available at the monthly membership meetings. Activities will be brought to the membership's attention 4 – 6 weeks in advance of the events other than those that require hotel reservations, those will be presented a little further out so that members can work around those dates for days off from work and figuring vacation time. Jim encouraged everyone to visit the website regularly for events and activities.

Old Business: President Bowles stated that the previously discussed issue of the Christmas party was resolved in a board meeting and is considered closed. A very few members are not satisfied with the results of that board meeting and continued to discuss the issue. The majority of the membership present are very tired of rehashing it. A motion was made from the floor, to exonerate the person involved and move on. The motion was seconded and voted on to drop the issue and move on. The vote was 50 yes and 5 no.

MICC sponsor, Gary Uftring, addressed the membership and said that he is very disappointed in the dissention that is currently plaguing the club. He strongly fears that this dissention will destroy the club. He encouraged the membership to remember the good things that have come out of this club; the camaraderie, mutual interests in beautiful cars, the charitable work that we do and the fun that we have always had together. Gary stated this is one of the largest Corvette clubs in this region and this kind of behavior will give the club a bad reputation. He feels we should move on, work together – not against one another - and continue doing good things.

The 2017 budget was not discussed as other issues took precedence at the Jan & Feb meetings and there was not time to prepare a proper budget for discussion. The board will meet to prepare a budget for presentation at the April membership meeting.

Trivia and 50/50: Trivia question: Although the new factory in St Louis had the capacity to produce 10,000 cars a year, Chevrolet produced just 3,640 for 1954. How many remained unsold at the end of the year?   A) 33%  B) 25%  C) 50%  D) 15%. The correct answer is: A) 33%. Ev Hoffer guessed incorrectly... the amount for a correct answer to the trivia question at the April membership meeting will be $30.

The 50/50 drawing was worth $40 and was won by Dan Hittinger. Dan donated his winnings to the upcoming car show. Thank you Dan!

Board Members Meeting Minutes

Governor Sandy Arnold requested that the Board meet on Monday, February 27, at Panera’s on Knoxville to discuss some unresolved budget issues before the general club meeting in March. Sandy conducted the meeting in the absence of President Kevin Stremlau and called the meeting to order at 2:08. Those in attendance were: Vice-president David Bowles, Treasurer Mourina Sweet, Governor Sandy Arnold, and Secretary Marilyn Carls. Jim Gehrig, Activities Chairman, was available on speaker phone. Absent were President Kevin Stremlau and Membership Chairman Tracy Adamson.

Sandy had a recommendation for the budget process. She felt that the Treasurer should be responsible for setting up the budget instead of the President. She noted that club member Laurie Hanson has volunteered to help set it up.

Sandy also recommended that the club purchase a laptop computer, 7 thumb drives (one for each of the officers), a wireless mouse, a carrying bag for the computer, and an electronic bookkeeping program such as Quicken Business Program. The treasurer would be responsible for the computer. The electronic bookkeeping program would be used by the treasurer for checkbook tracking, inventory tracking, all related treasurers’ documentation, and all club information. Each officer would have the ability to update their information into the computer regularly. It was questioned whether we really need to spend member’s money on all of this equipment. Sandy felt that by purchasing all of the above it would keep all club information current and in a centralized location.

It had been brought up in our last board meeting to get pricing for new business cards with our correct information on them, and also get pricing on the static cling club decals for the new member packets. Sandy had gotten several different quotes to present to the membership.

Lastly, Sandy recommended that the board have quarterly budget meetings to discuss the finances of the club. She suggested that the board meet again before taking the final budget to the membership at the March meeting. If not, she doesn’t feel the budget is ready to present to the membership.

Meeting Minutes for February 2017

The February 13, 2017 meeting was called to order at 6:31 PM by club president Kevin Stremlau. There were 62 members present and 4 guests. The guests tonight were Steve & Colette Rees and Rich & Mary Anderson. Welcome all!! With the wintertime blues and Corvette driving deprivation, it is a good time to join other club members at the meet-n-eats that are scheduled. Check the website for the coming events, and your e-mail for invites to all the events the club has to offer. Kevin wished Happy Birthday and Happy Anniversary to all who are celebrating in February.

Secretary’s Report - The January 2017 meeting minutes as posted on the website were reviewed with no corrections. A motion was made, seconded, and approved to accept.

Treasurer’s Report - MICC Treasurer, Mourina Sweet, gave the treasurer’s report for January 31, 2017. There were no questions. A motion was made, seconded and approved to accept as presented.

Activities – Jim Gehrig was absent, but Kevin reminded everyone to check the web often. At the last meeting, Kevin announced that our club had the most members at the Corvette Adventures Show last June and won the prize of a 2 night stay in a 3 bedroom house during the show this June. It was voted that all those who attended last year would have their name put in for a drawing. The winning name that was drawn was Luanne Stremlau – Congratulations Luanne! At the first St. Jude Drive meeting held on Feb 7th, Ed Saari offered anyone who participates in the Drive & Corvette Adventures in June a chance to win free registration for the fall Corvette Adventures.

Membership – Tracy reported that we started 2017 with 177 members in 99 households. We had 2 new members join tonight, Steve & Colette Rees, which brings our membership count to 179 in 100 households!

Newsletter – Please send all information for the Newsletter to Moe Sweet by the 25th of the month.

Webmaster – Check the web often!!

Governor’s Report – Sandy Arnold asked that if you have not received your new membership cards for NCCC to let her know. The new cards will be good for 5 yrs instead of 1 yr. Sandy will be going to the NCCC meeting in February with her full report posted on the web. She did state that she still needs 6 volunteers for Sunday, May 21st for the West Quincy Autocross event. If interested, please contact Sandy.

Program – None.

Old Business – Sandy Arnold has trophies from Patty Sanford to donate to the Fondulac Farm Park for their therapy program. Jessica Lowry volunteered to deliver the trophies.

New Business – None.

Announcements – Our club won First Place in the Fraternal & Social Clubs category for our participation in Ringing the Bells for The Salvation Army with $1,171.63 collected. Thanks to all who helped!! The first St. Jude Drive meeting was Feb 7, the next one will be on March 14, and the final meeting will be May 9 for the Drive on May 18 & 19. For those that are interested, there will also be a bus going down this year. Please contact the St. Jude office if you are interested.

Trivia and 50/50 – David Bowles was absent tonight so there was no trivia question. The March trivia question correct answer has a value of $20.

The 50/50 drawing was for $53.00 tonight and was won by Harry Sweet who donated it back to the shoe fund. Thanks Harry!

Adjournment – At the end of the regular meeting, a special closed meeting was held to discuss the budget. It was voted that further budget discussions will be held at the March meeting.

Board Meeting Minutes

The Board meeting was called to order by President Kevin Stremlau at 6:05 pm at Uftrings. He welcomed our new Vice President David Bowles, along with the returning board members: Mourina Sweet, Jim Gehrig, Sandy Arnold, Tracy Adamson and Marilyn Carls.

Kevin handed out the agenda for this board meeting and the Proposed 2017 Budget. In addition, he handed out two different proposals for our general meetings with recommended time slots for each presentation. The meeting proceeded according to the agenda.

2017 Budget – Kevin reminded the board that the proposed budget can be revised as needed. It was brought up that money was spent on both the Valentine’s Dinner and the Christmas Party, which had not been allocated for in the budget. The budget had a proposed amount, but was not listed in the total budget. Therefore, it was an oversight by the committees organizing the events that money had not been approved. It was agreed upon by all board members to include these expenses in the budget for the coming year.

2017 Charities – We currently have five charities that we support: St. Jude’s Drive Sponsorship, St. Jude’s Runner Car Show, Shoe Fund, Salvation Army Bell Ringing, and the St. Jude’s Ride. Jim Gehrig will lead the St. Jude’s Car Show Committee; the Shoe Fund will be organized by Mourina; and John & Pam Morris will lead the Salvation Army Bell Ringing.

Monthly meeting agenda – Kevin presented the board two different agendas for keeping the monthly meetings to one hour or less. If we each adhere to our time slots allotted we should have no problem.

Annual treasury audit – The annual treasury audit needs two volunteers to work with Mourina. Sandy Arnold and Marilyn Carls volunteered.

Board meetings – It was suggested that we have four board meetings per year. These can either be held before a regular monthly meeting or at a specified time if something comes up that needs to be discussed, but should be held quarterly. Kevin also suggested that we appoint Harry Sweet as Sergeant of Arms/Business Agent. It was agreed that this position would be announced at the next club meeting.

Activities – Kevin recommended that we get MICC Car Show flyers to the April 15th Pekin Show at Avanti’s Dome. Mourina has them ready.

Website – Jim Gehrig is the designated owner of the website with his grandson Trey, to update the information and photos. Kevin asked if we have centralized documentation of all website ownership information and if there is a back-up for Trey. Jim has a new member, Sherie Hittinger, who is learning some of the procedures. Mourina and Jim can also make changes to some of the information. It was recommended that we have a centralized documented process in place for access and editing rights.

Governor – Sandy reported that the club has four remaining sanctions available for this year. Instead of bringing this up for discussion, Kevin gave Sandy authority to make the decision as to how those sanctions will be used. Unless Sandy has something specific to report at the monthly meeting she will not give a governors report. Her full report will be posted on the website and in the newsletter.

Membership – It was voted on by the board that we would not have another recruitment contest and award this year, but rather consider updating our business cards with the new website address and meeting start time and encourage all members to pass them out to prospective new members. Sandy will check into the pricing of new cards and also the static cling window decals that are put in new members’ packets.

Apparel – Mourina will be at a side table where apparel can be viewed and ordered. Apparel will not be discussed at meetings unless there is a new item, style, etc. The sale of coupon books, lanyards and wristbands will be at the side table also.

Newsletter – Mourina needs all information for the newsletter by the 25th of each month.

Review inventory of club assets – Kevin asked that the inventory list be updated and sent to the board members. We discussed the need for electronic data back-up and how it should be handled. Do we need external hard drives for this? Further discussion will follow on this procedure.

Potential new acquisitions – There was much discussion on how we could promote our club – signs that could be placed in windshields at car shows or events, banners that could be displayed, etc.  We need to check on pricing and possibilities. We did vote to purchase two new microphones at a total cost of $60 for use at meetings to make sure everyone could be heard.
